The use of a photo box for employee photos
The staff in your company are given the opportunity to photograph and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or in the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your employees the chance to identify themselves completely around the clock with their individual employee photo.
The staff photos can be automatically optimized to the best possible format, removed from disruptive elements in the background and optionally saved in different shapes and aspect ratios.
Our proposed solution
You position a photo booth perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There the employees will sit down in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read in directly from the company ID card. The data collected in this way are then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee report can be set up.
After the photo of the employee's picture has been taken, the background of the recording can be automatically exchanged for one or various backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a defined point.
The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The name of the image is used to compare the photographed image and the internal employee data record. We would be happy to support your IT department in determining the connection.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in parallel in many dimensions.
So you always have the right photo for

etc. within easy reach.
Of course, each file can also be “branded” with a company logo and / or the name and position of the employee are immediately visible on the picture.

How does the employee get the picture?
So that not only the CRM system or the ActiveDirectory get the new photos, there are three different ways for the staff to get their photos digitally.
- Enter the email address at the end of the photo sequence.
The captured photo is then sent to the employee's email inbox.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to copy down their original photo and the various formats for the various target systems.
- Download via QR code from an offline gallery
The photo box provides its own WLAN that the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the staff can load their pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the Photo Box.

The need for investment
The investment for buying a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
