The mission goal

The staff in your company get the opportunity to photograph and/or update the personal employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your teams the chance to always identify 100% with their individual employee photo.

The personal photos are automatically adapted to the ideal format, freed from annoying elements in the background and optionally saved in a number of sizes and aspect ratios.

The solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary steps on the display.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read in immediately from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the employee portrait.

After photographing the employee portrait, the background of the image can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photographed image and the in-house employee data record via the name of the file. We would be happy to help your IT department clarify the connection.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can happen in several sizes at the same time.
So you always have the right photo for
Instagram, Outlook, Twitter, Facebook, LinkedIn
etc. ready.

Logically, each file can also be “branded” using the company logo and/or the name and position of the employee can be directly visible on the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the staff to choose from to get their photo digitally as well.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the staff has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   The captured photo is then sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various versions for the various target systems.

Other possible uses

To make the most of your investment, you have the following options:

• Photos of groups of visitors, e.g. after a tour of the company
• Use at staff parties (summer party, Christmas party ...}
• Photo attraction at customer events & meetings
• Recording of biometric passport photos and ID photos
• Use at trade fairs to issue personalized “flyers”

The need for investment

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
