The use of a photo box for employee photos
The employees in your company are given the opportunity to create and/or update their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your teams the opportunity to identify themselves to 100% at any time with their own employee photo.
The personal photos are automatically optimized to the best format, freed from annoying elements in the background and, if desired, saved in a number of sizes and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the recording can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in clarifying the interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in several dimensions at the same time.
So you always have the ideal photo for

Of course, each file can also be “personalized” with logos and/or the employee's name and position will be immediately visible on the image.

How does the photographed person get his picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to receive their photo as a file.
- Enter the email address at the end of the photo sequence.
In this case, the photo taken will be sent directly to the employee's email address. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery where the employee can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy their original photo and the various formats for the various target systems.
Alternative deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Use at employee parties (summer party, Christmas party ...}
- Production of biometric passport photos and ID photos
- Employee photos (as already described)
- Recordings of groups of visitors, e.g. after a tour of the company
- Use at trade fairs to issue personalized “flyers”
The cost frame
The cost of buying a photobooth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
Customer ratings
Since the system was introduced in 2019, two systems have been permanently installed in this country and in Switzerland.
