The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph their own employee photo and/or update it at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional staff are not needed on site.
You give your employees the option to identify themselves to 100% around the clock with their own employee photo.
The staff photos are automatically cut to the appropriate format, freed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the touchscreen, similar to the photo booth.
The screen serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Employee identifier, name, surname and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can be read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal/external use of the employee portrait.
After photographing the employee picture, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). The name of the image is used to compare the recorded image and the internal employee data record. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in several sizes.
So you always have the perfect photo for

etc. are available.
Of course, each file can also be “branded” using the company logo and/or the name and position of the employee can be directly visible on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory can benefit from the new recordings, there are three different ways for the employee to choose to receive their picture as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN, which the employee must dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

At the end of the photo sequence, a code is displayed on the screen or printed, which the employee can use to load his original photo and the various versions for the various target systems.
To get the most out of your investment, you have the following options:

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
Since the system was introduced in 2019, two systems have been set up permanently in Germany and Switzerland.
