What should be achieved?
The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your staff the opportunity to always identify 100% with their own employee photo.
The personal photos can be automatically cut to the best possible format, removed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touchscreen in parallel as an input terminal for the required data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the company ID card. The employee data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the employee report can also be displayed.
After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in various dimensions at the same time.
So you always have the right photo for
XING, WhatsApp & Co, Instagram, the CRM system, Outlook, Twitter
etc. lying ready.
Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will be immediately included in the picture.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to also receive their picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download their original photo and the different sizes for the different target systems.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail inbox.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame
The price for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
