What should be achieved?
The employees in your company have the option of creating and/or updating their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your staff the chance to identify themselves to 100% at any time with their individual employee photo.
The personal photos are automatically optimized to the best possible format, freed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth and read the instructions for the necessary steps on the display, just like with a photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The employee data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the recording can also be set up.
After the employee portrait has been taken, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photo taken and the internal employee data record via the name of the file. We would be happy to support your IT department in determining the import interface.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can be done in parallel to some extent.

Of course, each file can also be “branded” with company logos and/or the employee's name and position will be visible directly on the image.

How does the employee get the picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for employees to receive their photo as a file.
- Download via QR code from an offline gallery
The Photo Box provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different versions for the various target systems.
Alternative deployment options
In order to get the most out of your investment, you have the following options:
- Photo attraction at customer events & conferences
- Employee photos (as explained above)
- Use at employee parties (summer party, Christmas party ...}
- Photos of groups of visitors, e.g. after a tour
- Use at trade fairs to issue personalized “flyers”
The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
Both at WWZ AG in Switzerland and at Haufe Lexware, the system is very well received by employees.
