The mission goal

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the opportunity to identify themselves 100% with their individual employee photo.

The personal photos can be automatically adapted to the ideal format, removed from disturbing elements in the background and optionally saved in different shapes and aspect ratios.

One possible solution

You can place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the touchscreen.

The screen serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is simply read from the employee ID card. The employee data recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.

After photographing the employee portrait, the background of the image can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.

The photo is saved in a size and format specified by you (eg square for Active Directory). The file name is used to compare the portrait taken with the internal employee data set. We would be happy to support your IT department in determining the connection.

A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place in different dimensions at the same time.
So you always have the ideal photo for
Outlook, WhatsApp & Co, XING, Instagram, the CRM system, LinkedIn, Facebook
etc. within easy reach.

Of course, each file can also be "personalized" with company logos and/or the employee's name and position will be immediately visible on the image.

How does the photographed person get their photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for employees to get their picture digitally.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to load his original recording and the different sizes for the various target systems.
2. Download via QR code from an offline gallery
   The photobox provides its own WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this path is only in the immediate vicinity of the photo box.
3. Enter the e-mail address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.

Alternative uses

In order to make the best possible use of your investment, you have the following options:

• Use at trade fairs to issue personalized “flyers”
• Use at employee parties (summer party, Christmas party ...}
• Photos of groups of visitors, for example after a tour of the company
• Recording of biometric passport photos and ID photos
• Employee photos (as already explained)
• Photo attraction at customer events & congresses

The need for investment

The investment for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained directly.
