The use of a photo box for employee photos

The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not needed on the spot.
You give your employees the opportunity to identify themselves completely around the clock with their individual employee photo.

The personal photos can be automatically cut to the optimal format, removed from annoying elements in the background and optionally saved in various shapes and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and see the operating instructions for the necessary actions on the display, just like with the passport photo machine.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the business card. The employee data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be set up.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and positioned at a specified location on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken with the in-house employee data record. We would be happy to support your IT department in determining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in several formats at the same time.
So you always have the right photo for
Outlook, WhatsApp & Co, LinkedIn, the CRM system, Instagram, Twitter
etc. at hand.

Of course, each file can also be “branded” with a company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?

To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, the employee has three different ways of receiving his photo as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
2. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery from which employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy their original photo and the different versions for the various target systems.

Alternative uses

To get the most out of your investment, you have the following options:

• Use at employee parties (summer party, Christmas party ...}
• Recordings of groups of visitors, e.g. after a lecture
• Use at trade fairs to issue personalized “flyers”
• Employee photos (as described above)
• Photo attraction at customer events & meetings

The cost frame

The price for purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
