The mission goal
The employees in your company have the opportunity to create and / or update their individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to fully identify themselves at any time with their personal employee photo.
The staff photos can be independently optimized to the optimal format, removed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
One possible solution
You place a photobox set up for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, employees can stand in front of the photo booth, similar to the passport photo machine, and read the operating instructions on the screen for the necessary steps.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID. The information recorded in this way is then later an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.
After the photograph of the employee portrait, the background of the picture can be automatically replaced with one or more of the backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a defined point.
The photo will be saved in a size and aspect ratio you have specified (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved image with the in-house employee data record. We would be happy to support your IT department in clarifying the connection.
A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can be done synchronously to some extent.

Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee are immediately visible on the image.

How does the photographed person get the photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for the employee to receive his photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the employee can use to download the original photo and the various formats for the different target systems.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which the employee can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
In order to make the best possible use of your investment, you have the following options:

The need for investment
The price for purchasing such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
