The use of a photo box for employee photos

The employees in your company have the opportunity to create and/or update their individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that no extra personnel is needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their individual employee photo.

The staff photos can be cut to the right format, removed from the background elements and saved in many sizes and aspect ratios if desired.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the human resources department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary actions on the monitor, as with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read out immediately from the company ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the photo can also be displayed.

After photographing the employee picture, the background of the photo can be automatically exchanged for one or various backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and format defined by you (eg square for Active Directory). A comparison between the photographed portrait and the in-house employee data record takes place via the name of the picture. We would be happy to help your IT department define the interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in parallel to many extents.

Of course, each file can also be “branded” with a company logo and/or the name and position of the employee can be immediately visible on the image.

How does the employee get the picture?

To ensure that the CRM system or ActiveDirectory is not the only one to benefit from the new photos, there are three different ways for employees to receive their photo digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy their original photo and the various sizes for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   The captured photo is sent immediately to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photobox provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the employee can copy their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Additional uses

In order to make the best possible use of the acquisition, you have the following options:

• Employee photos (as already described)
• Production of biometric passport photos and ID photos
• Photos of groups of visitors, for example after a presentation
• Use at employee parties (summer party, Christmas party ...}
• Photo attraction at customer events & meetings

The need for investment

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
