What should be achieved?
The field staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the chance to identify themselves completely around the clock with their own employee photo.
The personal photos are automatically cut to the appropriate format, freed from disturbing elements in the background and optionally saved in many shapes and aspect ratios.
One possible solution
You position a photo booth set up for employee photos in your company (e.g. in the personnel department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the recording.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and format defined by you (eg square for the Active Directory). A comparison is made between the recorded image and the internal employee data record via the file name. We would be happy to support your IT department in clarifying the interface.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place synchronously in many formats.

Logically, each file can also be “branded” with logos and/or the name and position of the employee can appear directly on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the sales representative to choose from to get his picture digitally as well.

The photo taken is sent directly to the employee's mailbox. - Download from an offline gallery via QR code
The photo box provides its own WLAN, which the sales representative must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the field worker can use to load his original photo and the different versions for the different target systems.

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
