What should be achieved?
The field staff in your company are given the opportunity to create and/or update their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra personnel on site.
This gives your workforce the chance to always fully identify themselves with their individual employee photo.
The personal photos can be automatically cut to the optimal format, freed from disturbing elements in the background and, if desired, saved in different formats and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the human resources department, at the ID card office or at reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, just like with a passport photo machine, and read the operating instructions for the necessary steps on the display.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can simply be read from the company ID card. The data collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal/external use of the recording.
After the employee portrait has been photographed, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the photographed portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen simultaneously in different forms.

Of course, each file can also be “personalized” with the company logo and/or the employee's name and position will appear directly on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can enjoy the new images, there are three different ways for the sales representative to get his image digitally.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN which the sales representative must dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery where the sales representative can copy his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the various formats for the various target systems.
- Enter the e-mail address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's email inbox.
Other deployment options
In order to make the best possible use of your investment, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option of trying out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
Since the system was introduced in 2019, two systems have been set up permanently in this country and in Zurich.
