The use of a photo box for employee photos

The field staff in your company have the opportunity to create and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to always fully identify themselves with their own employee photo.

The personal photos are automatically optimized to the best format, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.

Our proposed solution

You position a photo box set up for employee photos in your company (e.g. in the human resources department, at the ID office or at reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photobooth in a similar way to a passport photo machine and read the operating instructions for the necessary actions on the screen.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be displayed.

After the employee portrait has been taken, the background of the photo can be automatically exchanged for one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in clarifying the interface.

A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place in different sizes at the same time.
So you always have the best photo for
Twitter, Facebook, XING, Instagram
etc. are available.

Of course, each file can also be “branded” using the company logo and/or the employee's name and position will appear directly on the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory can enjoy the new images, there are three different ways for the sales representative to get his image digitally.

1. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN that the field worker has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the various versions for the various target systems.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's inbox.

Other possible uses

To get the most out of your investment, you have the following options:

• Recordings of groups of visitors, for example after a presentation
• Use at trade fairs to issue personalized “flyers”
• Photo attraction at customer events & meetings
• Use at sales force parties (summer party, Christmas party ...}

The need for investment

The investment for the purchase of a photobooth optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased directly.
