The mission goal

The workforce in your company has the opportunity to take their own employee photo and / or bring it up to date at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
This gives your workforce the chance to always fully identify themselves with their individual employee photo.

The staff photos can be automatically optimized to the optimal format, removed from disruptive elements in the background and optionally saved in several sizes and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the screen.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. Personal identification, name, family name and / or date of birth.
Alternatively, the photobox can also be configured in such a way that the data can simply be read from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.

After the photograph of the employee portrait, the background of the recording can automatically be exchanged for one or more backgrounds that you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.

The photo is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the recorded portrait and the in-house employee data record. We would be happy to help your IT department define the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place synchronously in some formats.

Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee can be immediately visible on the image.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory can enjoy the new images, the workforce can choose between three different ways to receive their photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed out on the screen, which the staff can use to copy down their original recording and the various versions for the different target systems.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the workforce has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the workforce can download their recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.

To get the most out of your investment, you have the following options:

The cost frame

The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
