The use of a photo box for employee photos
The workforce in your company has the option of creating and / or updating their personal employee photo at a fixed location or at a location that changes at regular intervals (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the chance to identify themselves at any time to 100% with their own employee photo.
The staff photos can be automatically adapted to the appropriate format, freed from annoying elements in the background and optionally saved in different shapes and aspect ratios.
A suggested solution
You place a photobooth set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary actions on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be displayed.
After the employee picture has been taken, the background of the photo can automatically be replaced with one or more of the backgrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and positioned on the final image at a specified location.
The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison between the saved photo and the in-house employee data record takes place via the name of the picture. We would be happy to help your IT department determine the connection.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place simultaneously in different formats.
So you always have the right photo for

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee can be directly visible on the picture.

How does the staff get their photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for the workforce to receive their photos digitally.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email address.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the screen, which the staff can use to load their original photo and the various sizes for the various target systems.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the staff can save their photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.

The price for purchasing such a perfected photo box starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought directly.
