The mission goal

The staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that no extra personnel is needed on site.
You give your staff the chance to identify themselves completely at any time with their personal employee photo.

The personal photos can be independently optimized to the appropriate format, removed from disturbing elements in the background and optionally saved in many shapes and aspect ratios.

The solution

You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit in front of the photo booth, similar to a photo booth, and read the instructions for the necessary actions on the touchscreen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information, e.g. B. Employee identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a confirmation option for internal / external use of the image.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and placed in a specified location on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the image. We would be happy to help your IT department clarify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can happen simultaneously in several dimensions.
So you always have the ideal photo for

etc. within easy reach.

Of course, each file can also be “personalized” using the company logo and/or the employee's name and position will also be visible on the image.

How does the photographed person get his picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the workforce to choose from to also receive their photo digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to load their original recording and the various versions for the different target systems.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the email address of the employee.
3. Download from an offline gallery via QR code
   The Photo Box provides a private WLAN which the staff must dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the workforce can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Other possible uses

In order to make the best possible use of the acquisition, you have the following options:

• Employee photos (as described above)
• Production of biometric passport photos and ID photos
• Photos of groups of visitors, e.g. after a guided tour
• Use at trade fairs to produce personalized “flyers”
• Use at staff parties (summer party, Christmas party ...}

The need for investment

The price for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
