The use of a photo box for employee photos
The staff in your company have the option of taking their personal employee photo and/or updating it at a fixed location or at a rotating location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that no extra personnel is needed on site.
You give your teams the chance to identify themselves completely with their own employee photo at any time.
The personal photos are automatically optimized to the ideal format, removed from disturbing elements in the background and optionally saved in different formats and aspect ratios.
One possible solution
You can place a photo booth that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photobooth in a similar way to the passport photo machine and see the instructions for the necessary steps on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the employee portrait can also be displayed.
After the employee picture has been photographed, the background of the picture can be automatically replaced with one or various backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio that you specify (eg square for Active Directory). The name of the picture is used to compare the photographed picture and the internal employee data record. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can happen at the same time in several forms.
So you always have the ideal photo for

etc. at hand.
Of course, each file can also be “personalized” with the help of the company logo and/or the name and position of the employee will also appear on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to choose from to also receive their photo digitally.

The photo taken is immediately sent to the employee's mailbox.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN that the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to load their original photo and the different sizes for the different target systems.
Alternative deployment options
To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
