What should be achieved?
The workforce in your company has the chance to take a photo and / or update their own employee photo at a fixed or regularly alternating location (e.g. in the casino or in the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your staff the option to always identify themselves to 100% with their personal employee photo.
The staff photos are automatically cut to the appropriate format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and read the operating instructions for the required actions on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the photobox can also be programmed so that the data can easily be read from the employee ID. The data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.
Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or many backgrounds you have specified. The head of each photo is also found, adjusted to a specified size and positioned on the final image at a specified location.
The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved portrait and the internal employee data record. We would be happy to help your IT department determine the import interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place in different formats at the same time.

Logically, each file can also be “branded” with logos and / or the name and position of the employee can immediately appear on the picture.

How does the employee get the picture?
So that not only the CRM system or the ActiveDirectory can enjoy the new photos, there are three different ways for the workforce to get their photo digitally.
- Enter the e-mail address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox.
- Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the staff can use to download the original recording as well as the various versions for the various target systems.
- Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where the staff can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
