The use of a photo box for employee photos
The workforce in your company has the opportunity to take a personal employee photo and / or bring it up to date at a fixed or regularly alternating location (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your workforce the option to identify themselves at any time to 100% with their personal employee photo.
The staff photos are automatically adapted to the best format, freed from annoying elements in the background and optionally saved in different formats and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box, similar to the passport photo machine, and read the instructions for the required actions on the display.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee profile can also be displayed.
Following the recording of the employee portrait, the background of the picture can be automatically exchanged for one or various backgrounds you have specified. The head of each photo is also located, scaled to a specified size and positioned on the final image at a specified location.
The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the photographed portrait and the internal employee data record. We would be happy to help your IT department determine the connection.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place synchronously in several forms.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can be immediately visible on the picture.

How do the staff get their picture?
So that not only the CRM system or the ActiveDirectory come into possession of the new photos, there are three different ways for the workforce to choose to get their picture digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the screen, which the staff can use to copy down their original recording and the various sizes for the different target systems.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which the staff can load their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photobox.
In order to take full advantage of the purchase, you have the following options:

The cost frame

Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is purchased immediately.
Since the system was introduced in 2019, two systems have been permanently installed in this country and in Switzerland.
