The mission goal
The field staff in your company get the opportunity to photograph and/or update the personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or human resources department).
It is essential that this is achieved in the form of a self-service process and that you do not need extra personnel on site.
You give your staff the chance to always fully identify themselves with their personal employee photo.
The personal photos are automatically optimized to the optimal format, freed from annoying elements in the background and optionally saved in certain dimensions and aspect ratios.
Our proposed solution
You can position a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary steps on the display, just like with the photo booth.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the business card. The data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external uses of the image.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data set. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in several forms at the same time.

Of course, each file can also be "branded" with a logo and/or the name and position of the employee can be included in the picture.

How does the employee get his photo?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to get his photo as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN, which the sales representative must dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to an offline gallery where the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the different formats for the different target systems.
- Enter the email address at the end of the photo sequence.
In this case, the photo taken is sent directly to the employee's mailbox.
Further deployment options
In order to make the most of the purchase, you have the following options:

The need for investment
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
Since the system was implemented in 2019, two systems have been set up permanently in Germany and Zurich.
Both at WWZ AG in Switzerland and at Haufe Lexware, the system is very well received by employees.
