The mission goal

The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not needed on the spot.
You give your workforce the option to identify themselves at any time to 100% with their personal employee photo.

The staff photos can be independently optimized to the optimal format, freed from annoying elements in the background and saved in many sizes and aspect ratios if desired.

A suggested solution

You place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the display.

The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the business card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.

After photographing the employee portrait, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The file name is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department determine the connection.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place simultaneously in different dimensions.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can appear directly on the image.

How does the photographed person get their photo?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to get his photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the different sizes for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the sales representative has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which the sales representative can load his pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The captured photo is then immediately sent to the employee's email inbox.

Further deployment options

To get the most out of your investment, you have the following options:

The cost frame

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worth it for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
