What should be achieved?
The field staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the chance to identify themselves completely at any time with their own employee photo.
The staff photos can be independently cut to the appropriate format, freed from annoying elements in the background and optionally saved in different sizes and aspect ratios.
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
Similar to the photo booth, employees can stand in front of the photo booth and read the operating instructions for the necessary actions on the display.
The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read directly from the company ID card. The employee data collected in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and placed at a defined point on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the file name. We would be happy to help your IT department determine the interface.
A biometric check and a cut to a biometric ID photo are available as options.
The image output can be done in parallel in various sizes.
So you always have the ideal photo for
Facebook, Instagram, LinkedIn, the CRM system, Outlook, WhatsApp & Co, XING
etc. lying ready.
Logically, each file can also be “branded” with a company logo and/or the name and position of the employee will be immediately visible on the image.

How does the employee get their photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the sales representative to choose from to receive his picture as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the sales representative has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this path only works in the direct vicinity of the Photo Box.

At the end of the recording, a code is displayed on the touchscreen or printed out, which the sales representative can use to load his original photo and the different versions for the different target systems.
- Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox.
Other possible uses
To get the most out of your investment, you have the following options:
- Photo attraction at customer events & congresses
- Use at sales force parties (summer party, Christmas party ...}
- Employee photos (as described above)
- Use at trade fairs to create personalized “flyers”
- Photos of groups of visitors, e.g. after a lecture
The need for investment
The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
Since the system was introduced in 2019, two systems have been permanently installed in Germany and Zurich.
