The mission goal
The staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to identify themselves to 100% around the clock with their own employee photo.
The personal photos are automatically cut to the best possible format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
A suggested solution
You position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, just like with a passport photo machine, and see the instructions for the necessary steps on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The data recorded in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.
After the employee portrait has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a specified position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the picture. We would be happy to support your IT department in clarifying the import interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in several dimensions at the same time.

How does the employee get his picture?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the workforce to choose from to also receive their picture as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the workforce can use to download their original photo and the different sizes for the different target systems.

The need for investment
The cost of buying a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
