The mission goal

The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the chance to fully identify themselves at any time with their personal employee photo.

The personal photos are automatically optimized to the ideal format, freed from disturbing elements in the background and optionally saved in different formats and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the business card. The employee data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the recording.

After photographing the employee portrait, the background of the image can be automatically exchanged for one or different backgrounds specified by you. The head of each photo is also determined, scaled to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in determining the interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can happen in several formats at the same time.

Logically, each file can also be “branded” with company logos and/or the employee's name and position can be included directly on the image.

How does the employee get their photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo as a file.

1. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the employee must dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can save his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various formats for the different target systems.

Other deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Employee photos (as described above)
• Use at trade fairs to produce personalized “flyers”
• Use at employee parties (summer party, Christmas party ...}

• Production of biometric passport photos and ID photos

The need for investment

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
