The use of a photo box for employee photos
The workforce in your company is given the opportunity to take a photo of the individual employee and / or bring it up to date at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to fully identify themselves at any time with their personal employee photo.
The staff photos can be independently adapted to the best format, removed from disruptive elements in the background and optionally saved in many formats and aspect ratios.
A suggested solution
You can place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo booth, similar to a passport photo machine, and see the operating instructions for the required actions on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the employee ID card. The data collected in this way are then part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a checkbox for internal / external use of the recording.
Following the photograph of the employee picture, the background of the recording can be automatically exchanged for one or more backrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a defined position.
The photo is saved in a size and aspect ratio you have specified (e.g. square for the ActiveDirectory). The file name is used to compare the photo taken and the internal employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in several forms at the same time.

Of course, each file can also be “personalized” with a company logo and / or the name and position of the employee are directly visible on the picture.

How did the staff get the photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, the workforce can choose between three different ways to get their picture as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the staff can copy down their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the staff can use to copy down their original photo and the different versions for the different target systems. - Enter the e-mail address at the end of the photo sequence.
In doing so, the captured photo is immediately sent to the employee's mailbox.

The need for investment
The investment for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
