The use of a photo box for employee photos

The staff in your company have the option of photographing and/or updating the personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves around the clock to 100% with their individual employee photo.

The staff photos are automatically adjusted to the best possible format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary steps on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured so that the data is read in immediately from the employee ID card. The data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.

After the photograph of the employee picture has been taken, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a specified location on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can happen synchronously in many dimensions.

etc. within easy reach.

Logically, each file can also be “personalized” using the logo and/or the employee's name and position will appear directly on the image.

How does the employee get the picture?

To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the workforce to choose from to also receive their photo as a file.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email address.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN, which the staff must dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the staff can use to download their original recording and the various versions for the various target systems.

In order to make the most of the purchase, you have the following possible uses:

The need for investment

The price for purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased directly.
