What should be achieved?

The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that no extra staff is needed on the spot.
You give your teams the opportunity to always identify 100% with their own employee photo.

The staff photos are automatically cut to the appropriate format, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.

The solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There the employees can stand in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personal identification, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read from the company ID card. The information recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a confirmation option for internal / external use of the photo.

After the employee picture has been taken, the background of the photo can be automatically exchanged for one or many of the backrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and format specified by you (e.g. square for the ActiveDirectory). A comparison is made between the saved photo and the in-house employee data record via the file name. We would be happy to help your IT department clarify the interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in parallel in several formats.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee can be directly visible on the picture.

How does the employee get their photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, the employee can choose between three different ways to get his picture as a file.

1. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his or her original recording as well as the different versions for the different target systems.
3. Enter the e-mail address at the end of the photo sequence.
   The captured photo is then sent to the employee's email inbox.

Other uses

To get the most out of your purchase, you have the following options:

The cost frame

The cost of purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
