What should be achieved?
The staff in your company have the option of creating and/or updating their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.
The personal photos can be automatically optimized to the best format, freed from disturbing elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth and read the operating instructions for the necessary steps on the monitor, as with the passport photo machine.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the recording can also be displayed.
After photographing the employee portrait, the background of the image can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is located, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and format you define (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department determine the connection.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can happen in parallel to different extents.
So you always have the right photo for
the CRM system, Facebook, WhatsApp & Co, Twitter, XING, Instagram, Outlook, LinkedIn
etc. are available.
Of course, each file can also be “branded” with the company's logo and/or the employee's name and position can appear directly on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory can benefit from the new images, there are three different ways for the staff to choose from to get their image digitally as well.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed, which the staff can use to copy their original photo and the different sizes for the different target systems.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is then sent to the employee's mailbox.
- Download from an offline gallery via QR code
The Photo Box provides a private WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which staff can download their recordings. In contrast to the online gallery, this way is only possible in the immediate vicinity of the photo box.
Other deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Use at trade fairs to create personalized "flyers"
- Photos of groups of visitors, e.g. after a lecture
- Photo attraction at customer events & conferences
- Production of biometric passport photos and ID photos
- Employee photos (as described above)
- Use at staff parties (summer party, Christmas party ...}
The need for investment
The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
Since the system was implemented in 2019, two photo boxes have been set up permanently in Germany and in Zurich.
Both at WWZ AG in Zurich and at Haufe Lexware, the system is very well received by colleagues.
