What should be achieved?

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.

The staff photos are automatically adjusted to the appropriate format, removed from annoying elements in the background and optionally saved in different shapes and aspect ratios.

The solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, just like with the passport photo machine, and see the instructions for the necessary steps on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read immediately from the company ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the image can also be set up.

After the employee picture has been photographed, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). The file name is used to compare the photo taken with the in-house employee data record. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can be done synchronously in different forms.

Of course, each file can also be "branded" with the company logo and/or the designation and position of the employee will be visible directly on the image.

How does the staff get their photo?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose from to receive his photo as a file.

1. Download from an offline gallery via QR code
   The Photo Box provides a private WLAN which the employee must dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   In this case, the photo taken is immediately sent to the employee's e-mail address.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various formats for the different target systems.

Alternative uses

To get the most out of your investment, you have the following options:

The cost frame

The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
