The mission goal
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your staff the opportunity to identify themselves completely at any time with their personal employee photo.
The personal photos can be automatically optimized to the ideal format, removed from annoying elements in the background and optionally saved in some dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the operating instructions for the necessary steps on the display, just like with a passport photo machine.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. Employee identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the image can also be displayed.
After photographing the employee picture, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined position on the final image.
The image is saved in a size and format specified by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place synchronously in several forms.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory can enjoy the new pictures, there are three different ways for the employee to choose from to also receive their picture digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the various formats for the different target systems. - Download from an offline gallery via QR code
The Photo Box provides its own WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox.
Additional uses
In order to make the best possible use of the acquisition, you have the following options:

The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is adopted immediately.
