The mission goal
The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to identify themselves completely around the clock with their personal employee photo.
The personal photos are automatically optimized to the best format, freed from disturbing elements in the background and, if desired, saved in various dimensions and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, similar to the photo booth, and see the operating instructions for the necessary steps on the screen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read in immediately from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external use of the recording.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned in a specified position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the name of the file. We would be happy to support your IT department in clarifying the import interface.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place in several formats at the same time.
So you always have the right photo for

etc. at hand.
Of course, each file can also be "personalized" using company logos and/or the name and position of the employee can appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the employee to get his photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download the original photo and the different versions for the various target systems.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Entry of the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's mailbox.
Other deployment options
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
Since the implementation of the system in 2019, two photo boxes have been set up permanently in this country and in Switzerland.
