What should be achieved?
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to identify themselves completely around the clock with their own employee photo.
The personal photos are automatically cut to the ideal format, freed from disturbing elements in the background and saved in several dimensions and aspect ratios if desired.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the instructions for the necessary steps on the touchscreen, similar to a passport photo machine.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a confirmation option for internal/external use of the recording.
After the photograph of the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the file name. We would be happy to help your IT department clarify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in different formats at the same time.
So you always have the right photo for
Facebook, Outlook, the CRM system, LinkedIn, Instagram
etc. are available.
Logically, each file can also be “branded” with logos and/or the employee's name and position can be immediately visible on the image.

How did the staff get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to receive his picture as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's inbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the different sizes for the different target systems. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
Other uses
To get the most out of your investment, you have the following options:

The cost frame
The price for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worth it for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
