It is essential that this is achieved in the form of a self-service process and that extra staff is not needed on the spot.
This gives your workforce the opportunity to fully identify themselves at any time with their personal employee photo.

The staff photos are automatically optimized to the optimal format, removed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.

One possible solution

You can place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary actions on the monitor, similar to the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a release option for internal / external use of the recording.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the photograph taken with the in-house employee data record. We would be happy to support your IT department in specifying the interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in several forms at the same time.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will appear directly on the image.

How does the employee get his picture?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get their photo digitally.

1. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.
2. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed, which the employee can use to copy their original photo and the different versions for the different target systems.

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
It goes without saying that there is also the option of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
