The use of a photo box for employee photos

The employees in your company have the opportunity to take a photo of their personal employee photo and/or update it at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra staff is not needed on the spot.
This gives your workforce the option to fully identify themselves at any time with their individual employee photo.

The staff photos are automatically adjusted to the best possible format, freed from annoying elements in the background and optionally saved in different formats and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and see the instructions for the necessary steps on the display, just like with the passport photo machine.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The employee data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be set up.

After photographing the employee picture, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also determined, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to support your IT department in defining the interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can happen synchronously in several dimensions.

How does the employee get the photo?

To ensure that the CRM system or ActiveDirectory are not the only ones to get hold of the new photos, there are three different ways for employees to choose to receive their photo digitally.

1. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
3. Download from an online gallery
   At the end of the sequence, a code is shown on the screen or printed out, which the employee can use to download the original recording and the different versions for the different target systems.

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased directly.
