The mission goal

The employees in your company get the opportunity to create and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to always fully identify themselves with their own employee photo.

The personal photos can be automatically cut to the appropriate format, freed from disturbing elements in the background and optionally saved in a number of shapes and aspect ratios.

One possible solution

You can position a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary steps on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read in immediately from the company ID card. The information recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a confirmation option for internal/external use of the recording.

After the employee photo has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison is made between the photographed image and the internal employee data record via the file name. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut to a biometric ID photo are available as options.
The image output can take place in parallel in different forms.
So you always have the ideal photo for
the CRM system, Facebook, WhatsApp & Co, XING, Outlook, Twitter
etc. at hand.

Logically, each file can also be “branded” using the company's logo and/or the employee's name and position can appear directly on the image.

How does the employee get their photo?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for employees to choose from to receive their photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the company employees can use to download their original photo and the various versions for the various target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

To get the most out of your investment, you have the following possible uses:

The need for investment

The cost of purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
