The use of a photo box for employee photos

The employees in your company have the option of photographing and/or updating their personal employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your teams the option to identify themselves completely around the clock with their individual employee photo.

The personal photos are automatically adjusted to the best format, freed from disturbing elements in the background and optionally saved in a number of formats and aspect ratios.

A suggested solution

You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo booth, similar to the photo booth, and read the instructions for the necessary actions on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personal identification, name, surname and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is immediately read from the employee ID card. The information recorded in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external assignments of the employee portrait can also be displayed.

After the employee picture has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place synchronously in different sizes.

Of course, each file can also be "personalized" with logos and/or the name and position of the employee can be immediately included in the picture.

How does the photographed person get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.

1. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail address.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to load their original photo and the different versions for the different target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Additional deployment options

In order to get the most out of your investment, you have the following options:

The need for investment

The investment for the purchase of a photobooth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
