The mission goal

The employees in your company have the opportunity to take a photo of their personal employee photo and/or update it at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to always fully identify themselves with their personal employee photo.

The staff photos can be automatically optimized to the best format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.

A suggested solution

You position a photo booth set up for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the touchscreen, similar to the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the company ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the photo can also be set up.

After the employee portrait has been photographed, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a specified location on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the photograph taken with the in-house employee data record. We would be happy to support your IT department in determining the import interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in several dimensions at the same time.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee can be immediately visible on the image.

How did the staff get the photo?

So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the employee to get his picture as a file.

1. Enter the e-mail address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's email address.
2. Download via QR code from an offline gallery
   The Photobox provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to copy his original recording and the various versions for the various target systems.

The cost frame

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
