The use of a photo box for employee photos
The employees in your company are given the opportunity to create and / or update their individual employee photo at a fixed or regularly alternating location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the option to identify themselves at any time to 100% with their personal employee photo.
The staff photos are automatically cut to the optimal format, freed from disturbing elements in the background and optionally saved in various formats and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read out immediately from the employee ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After the employee portrait has been recorded, the background of the recording can be automatically exchanged for one or various backgrounds you have specified. The head of each photo is also located, adjusted to a specified size and placed on the final image at a specified location.
The photo is saved in a size and format you have specified (e.g. square for the ActiveDirectory). A comparison is made between the photographed portrait and the in-house employee data record via the name of the picture. We would be happy to help your IT department determine the import interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can happen in several forms at the same time.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee are immediately visible on the picture.

How does the employee get the photo?
So that the CRM system or the ActiveDirectory alone does not benefit from the new recordings, the employee can choose between three different ways of receiving his picture as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the Photo Box.

At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original image and the various formats for the various target systems.
- Enter the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's mailbox.

Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
