What should be achieved?

The employees in your company have the opportunity to take their own employee photo and / or bring it up to date at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the chance to always fully identify themselves with their personal employee photo.

The staff photos are automatically optimized to the appropriate format, freed from annoying elements in the background and, if desired, saved in different shapes and aspect ratios.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and see the instructions for the required actions on the screen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo booth can also be set up so that the data can simply be read from the employee ID. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a release option for internal / external use of the photo.

Following the photograph of the employee picture, the background of the picture can be automatically replaced with one or many of the backgrounds you have specified. The head is also found for each photo, adjusted to a specified size and positioned on the final image at a specified location.

The photo is saved in a size and format specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the photo taken and the in-house employee data record. We would be happy to support your IT department in determining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in many formats.
So you always have the best possible photo for
Outlook, LinkedIn, Twitter, Instagram
etc. within easy reach.

Logically, each file can also be “branded” with company logos and / or the name and position of the employee will be visible on the image.

How does the employee get his photo?

So that not only the CRM system or the ActiveDirectory get the new pictures, there are three different ways for the employee to get his picture as a file.

1. Entry of the email address at the end of the photo sequence.
   In this case, the captured photo will be sent immediately to the employee's email address.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the touchscreen, which the employee can use to copy down his or her original photo and the different versions for the different target systems.
3. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.

Further deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Recordings of groups of visitors, e.g. after a lecture
• Use at employee parties (summer party, Christmas party ...}
• Photo attraction at customer events & conferences
• Use at trade fairs to issue personalized “flyers”
• Creation of biometric passport photos and ID photos
• Employee photos (as already described)

The need for investment

The price for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
