The use of a photo box for employee photos

The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your workforce the chance to identify themselves completely around the clock with their individual employee photo.

The personal photos are automatically adapted to the appropriate format, freed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.

One possible solution

You place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and see the instructions for the necessary actions on the touchscreen, just like with the photo booth.

The screen serves as a touch screen in parallel as an input terminal for the necessary data, e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The employee data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with an option for sharing the photo internally/externally.

After photographing the employee picture, the background of the photo can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken with the in-house employee data record. We would be happy to help your IT department determine the connection.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place in many formats at the same time.

Of course, each file can also be “branded” using the company logo and/or the employee's name and position will appear directly on the image.

How does the employee get their photo?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose from to get his photo digitally as well.

1. Download via QR code from an offline gallery
   The photobox provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which employees can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various versions for the various target systems.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent straight to the employee's email inbox.

To get the most out of your investment, you have the following options:

The need for investment

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
