The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their own employee photo.

The personal photos can be automatically cut to the optimal format, freed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.

The solution

You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the touchscreen.

The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the employee portrait.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the name of the file. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in different forms at the same time.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will also be visible on the image.

How does the employee get their photo?

To ensure that the CRM system or the Active Directory are not the only ones to get hold of the new images, there are three different ways for employees to choose to receive their image digitally.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to load their original photo and the different sizes for the different target systems.
3. Entry of the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.

Additional uses

To get the most out of your investment, you have the following options:

The need for investment

The price for the purchase of such a perfected photo box starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
