The use of a photo box for employee photos
The employees in your company are given the option to photograph and / or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the opportunity to identify themselves around the clock to 100% with their individual employee photo.
The staff photos are automatically optimized to the optimal format, freed from annoying elements in the background and, if desired, saved in different shapes and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There the employees can sit down in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can easily be read from the company ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the image.
After the photo of the employee has been taken, the background of the picture can be automatically exchanged for one or many of the backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a specified position.
The image is saved in a size and aspect ratio specified by you (eg square for the ActiveDirectory). The name of the picture is used to compare the saved portrait and the internal employee data record. We would be happy to help your IT department define the interface.
A biometric check and a cut to a biometric ID photo are available as an option.

How does the employee get the photo?
So that not only the CRM system or the ActiveDirectory comes into possession of the new images, there are three different ways for the employee to receive his photo as a file.
- Download from an offline gallery via QR code
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery in which the employee can copy down his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to copy down his or her original picture and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.
