The mission goal
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to identify themselves 100% with their individual employee photo.
The staff photos are automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
A suggested solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can simply be read from the business card. The employee data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a confirmation option for internal / external use of the photo.
After photographing the employee picture, the background of the picture can be automatically exchanged for one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to help your IT department define the connection.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image can be output in different sizes at the same time.

How does the employee get his photo?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, the employee has three different ways of getting his photo digitally.
- Download from an offline gallery via QR code
The Photo Box provides its own WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can load his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download his original recording and the various versions for the different target systems.
