The mission goal
The employees in your company are given the option to create and / or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% around the clock with their personal employee photo.
The staff photos are automatically cut to the best format, removed from annoying elements in the background and, if desired, saved in many dimensions and aspect ratios.
A suggested solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read out immediately from the employee ID card. The information collected in this way is then later part of the file name of the employee photo.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.
Following the photograph of the employee picture, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed on the final image at a defined point.
The image is saved in a size and aspect ratio defined by you (eg square for the ActiveDirectory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in several formats.

Of course, each file can also be “personalized” with company logos and / or the name and position of the employee can be on the picture.

How does the photographed person get the picture?
So that the CRM system or the ActiveDirectory alone does not benefit from the new recordings, the employee can choose between three different ways to get his picture digitally.
- Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery in which the employee can download his pictures. In contrast to the online gallery, this way only works in the direct vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the screen, which the employee can use to copy down the original photo and the different versions for the various target systems. - Entry of the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's mailbox.

The need for investment
The price for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
