The use of a photo box for employee photos

The field service employees in your company have the option of photographing and / or updating the individual employee photo at a fixed or regularly alternating location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their individual employee photo.

The staff photos are automatically optimized to the appropriate format, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.

The solution

You position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit down in front of the photo box in the same way as with the passport photo machine and read the instructions for the required actions on the screen.

The monitor serves as a touchscreen in parallel as an input terminal for the necessary information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the employee ID. The information collected in this way will later become part of the file name of the employee photo.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.

After the employee picture has been taken, the background of the picture can be automatically exchanged for one or various backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a specified location.

The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the in-house employee data record takes place via the name of the image. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can occur synchronously in several dimensions.

Of course, each file can also be “personalized” with company logos and / or the name and position of the employee are immediately visible on the picture.

How do the staff get their picture?

So that not only the CRM system or the ActiveDirectory get the new pictures, the sales representative can choose between three different ways to get his picture digitally.

1. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the sales representative can use to download the original photo and the different sizes for the various target systems.
3. Download from an offline gallery via QR code
   The Photobox provides its own WLAN which the field service employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery in which the sales representative can copy down his photos. In contrast to the online gallery, this path only works in the direct vicinity of the photo booth.

The cost frame

The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
