The mission goal
The staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your staff the option to fully identify themselves around the clock with their individual employee photo.
The personal photos can be automatically cut to the best possible format, freed from annoying elements in the background and optionally saved in various shapes and aspect ratios.
A suggested solution
You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, just like with the passport photo machine, and see the instructions for the necessary actions on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The data collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the image can also be displayed.
After photographing the employee portrait, the background of the image can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format defined by you (eg square for Active Directory). The name of the file is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department specify the import interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image can be output in different formats at the same time.
So you always have the best photo for
Facebook, Twitter, XING, Instagram, Outlook
etc. at hand.
Of course, each file can also be "branded" using logos and/or the name and position of the employee will be immediately visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the staff to choose to get their picture as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the staff can use to copy their original photo and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail inbox. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the staff can download their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
Further deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Use at trade fairs to produce personalized “flyers”
- Production of biometric passport photos and ID photos

The cost frame
The investment for the purchase of a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
