The use of a photo box for employee photos
The employees in your company have the option to create and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your employees the chance to always fully identify themselves with their individual employee photo.
The staff photos are automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You can position a photo booth that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in the same way as with the passport photo machine and read the instructions for the necessary steps on the monitor.
The screen serves as a touch screen in parallel as an input terminal for the necessary data such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The data recorded in this way are then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.
Following the recording of the employee portrait, the background of the recording can be automatically exchanged for one or different backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a specified position.
The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved image and the internal employee data record. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in several forms at the same time.

Of course, each file can also be “personalized” with a company logo and / or the name and position of the employee will appear on the picture.

How does the staff get their photo?
So that not only the CRM system or the ActiveDirectory get the new pictures, there are three different ways for the employee to get his photo digitally.

The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery in which employees can save their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download his or her original photo and the various formats for the various target systems.
