What should be achieved?
The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra employees on site.
This gives your workforce the option to fully identify themselves at any time with their individual employee photo.
The staff photos can be automatically cut to the right format, freed from annoying elements in the background and optionally saved in a number of dimensions and aspect ratios.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box and read the instructions for the necessary steps on the monitor, as they do at the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the recording can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to help your IT department clarify the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.

How did the staff get the photo?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employee to get his picture as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various versions for the different target systems. - Download from an offline gallery via QR code
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. That QR code leads to an offline gallery from which the employee can load his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's email inbox.
