What should be achieved?

The employees in your company get the opportunity to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the option to always fully identify themselves with their own employee photo.

The personal photos can be automatically optimized to the appropriate format, removed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the human resources department, at the ID office or at reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, as with the passport photo machine, and see the instructions for the necessary steps on the display.

The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the company ID card. The employee data recorded in this way is then subsequently a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be set up.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned in a specified position on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in determining the connection.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can happen in many formats at the same time.
So you always have the best possible photo for
XING, Twitter, Instagram, Facebook, WhatsApp & Co, Outlook, LinkedIn, the CRM system
etc. within easy reach.

Logically, each file can also be “branded” with the help of the logo and / or the name and position of the employee will be on the picture.

How does the photographed person get the photo?

So that not only the CRM system or the Active Directory can enjoy the new pictures, there are three different ways for the employee to receive his picture as a file.

1. Download from an offline gallery via QR code
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email address.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various sizes for the various target systems.

To get the most out of your purchase, you have the following options:

The need for investment

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 or more employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
