What should be achieved?

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to fully identify themselves at any time with their personal employee photo.

The personal photos are automatically optimized to the best possible format, removed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.

A suggested solution

You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box and read the operating instructions for the necessary steps on the screen, just like at a passport photo machine.

The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo booth can also be set up so that the data can be read directly from the employee ID card. The employee data collected in this way will later become an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal/external use of the recording.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a defined position on the final image.

The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved image and the in-house employee data record via the name of the file. We would be happy to support your IT department in specifying the interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place synchronously in different dimensions.
So you always have the ideal photo for

Of course, each file can also be “branded” with company logos and/or the name and position of the employee can also be visible on the image.

How does the photographed person get the picture?

So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employees to get their photo digitally.

1. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code will appear on the screen. That QR code leads to an offline gallery from which employees can copy their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Entry of the email address at the end of the photo sequence.
   The photo taken is sent immediately to the employee's mailbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to load his original recording and the different versions for the different target systems.

Alternative uses

To get the most out of your investment, you have the following options:

• Photos of groups of visitors, e.g. after a tour of the company

The need for investment

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
